How to Use the User Access Settings?
The User Access settings in Integration for Google Drive PRO let you decide which WordPress users and roles can use the plugin, which Google Drive folders they can see, and which plugin pages they can open. It is useful when you manage a site with editors, shop managers, or clients who need Google Drive access without getting full control of your settings. This guide shows how to create, edit, and remove access rules.
Step 1: Open the User Access Settings
- Log in to your WordPress dashboard as an administrator.
- Navigate to Google Drive > Settings.
- Click the User Access tab.
Step 2: Add a New Access Rule
- Click the Add New Access button.
- Choose the rule type:
- Role – applies to every user with that WordPress role (for example, Editor or Shop Manager).
- User – applies to one specific user.
- In Select Role (or Select User), pick the role or user. You can type in the field to search.
- Click Select Folders and choose the Google Drive folders this role or user may access.
- In Assign Settings, choose the plugin pages they can open:
- File Browser
- Settings
- Module Builder
- Media Library
- Click the Confirm button to save the rule.
Note: Both Select Folders and Assign Settings are required. A rule without at least one folder and one page will not be saved.
Step 3: Understand What the User Will See
- The plugin menu under Google Drive shows only the pages you assigned. Pages that are not assigned are hidden.
- In the File Browser, the user sees only the folders you selected. Top-level views such as My Drive, Shared with me, and Starred show just those folders, and any other folder is blocked.
- If a user has no matching rule, they cannot use the plugin. Only administrators are allowed by default.
Role rule vs. user rule
If a user matches both a User rule and a Role rule, the User rule takes priority. Use this to give one person more (or less) access than the rest of their role.
Step 4: Assign the Media Library Page (Optional)
When you select Media Library in Assign Settings, the selected folders are added to that user’s Media Library.
Note: If you later remove those folders from Settings > Media Library > Assign Folder, the user will lose access to them in the Media Library.
Step 5: Edit or Delete an Access Rule
- Go to Google Drive > Settings > User Access.
- Find the rule in the list.
- To edit, change the role/user, folders, or pages. The changes are saved to the rule.
- To remove it, click Delete and confirm “Are you sure you want to delete this user access?”
After a rule is deleted, that user or role immediately loses access to the plugin.
Things to Keep in Mind
- You cannot create a rule for the Administrator role, because administrators already have full access.
- You cannot create a rule for the user you are currently logged in as.
- Giving a user the Settings page lets them change plugin settings, so assign it carefully.
- The Backups page is always limited to administrators and cannot be assigned through User Access.
